Executive Officer (Temporary Appointment)

[Appointment period: twelve months initially, with possibility of further appointment]

[The appointee will provide administrative support for the establishment of a new academic unit (“Unit”) and its academic programmes. The appointee will be transferred to the Unit upon its establishment.]

Duties

The appointee will be required to:

(a)    provide professional administrative support to academic programmes at various levels and related centralised exercises, including management of student records and processing of admission matters;

(b)    plan and organise programme events;

(c)    provide secretarial services to committees and/or working groups;

(d)    liaise with the internal University departments, external organisations, students and graduates; and

(e)    perform any other duties as assigned by the Dean of Faculty and/or Head of Unit or their delegates.

Qualifications

Applicants should have:

(a)    a recognised degree or above;

(b)    at least five years of solid administrative experience in a dynamic management environment, preferably with experience gained in tertiary education institutions;

(c)    an excellent command of both written and spoken English and Chinese;

(d)    a strategic mind-set with excellent analytical, problem-solving, organisational, communication, interpersonal, multi-tasking and prioritisation skills;

(e)    high self-motivation, proactivity, flexibility and professionalism; with the ability to work independently as well as collaboratively in a team, and under pressure to meet tight deadlines; and

(f)    sound computer literacy, including Chinese word processing, PowerPoint and Excel.

Duties 

The appointee will be required to:  

(a)    support coordination, implementation and development of the Work-Integrated Education (WIE) activities including but not limited to internships, company/organisation-based projects and other real-world learning experience aligned to students’ educational goals;

(b)    assist in developing partnerships and relationships with companies, organisations and institutions to solicit ongoing WIE/employment opportunities for students;

(c)    coordinate liaison matters within/outside the University and negotiate with external partners on project/agreement terms and collaboration details for the School;

(d)    oversee the internship lifecycle, including briefing and supporting students and stakeholders, handling application and documentation, monitoring progress, collection of student performance reports for effective WIE delivery;

(e)    assess the effectiveness of WIE initiatives through conducting surveys, gathering feedback, outcome tracking and preparing reports to continuously improve the WIE activities;

(f)    provide secretarial support to internal meetings, committees and working groups; maintain accurate records and develop an effective database and information system to compile departmental reports and publications;

(g)    supervise junior staff of the School; 

(h)    support the planning and execution of WIE-related events; and

(i)    perform any other duties as assigned by the Dean of School or his delegates.

Qualifications 

Applicants should: 

(a)    have a recognised degree with at least five years of solid relevant working experience, preferably gained in tertiary education sector; 

(b)    have a good command of both written and spoken English and Chinese, with fluency in Putonghua being an advantage;

(c)    have excellent planning, organisational, analytical and problem-solving skills;

(d)    have good supervisory and liaison skills; and

(e)    be proactive, self-motivated, outgoing and be a good team player with excellent communication and interpersonal skills.

Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
