Project Assistant (Secretaries & Associates) (Part-time)

We are looking for a dedicated and organized Project Assistant to join our team on a part-time basis. The successful candidate will play a key role in ensuring our projects run smoothly and efficiently.

Key Responsibilities:

  • Project Support: Assist in the end-to-end delivery of various projects.

  • Data Management: Accurate processing and maintenance of project-related data.

  • Administrative Support: Handling general office administration and documentation.

  • Executive Assistance: Providing administrative support to the Chief Executive Office and Secretaries & Associates department as needed.

  • Other Duties: Support ad hoc tasks/projects as required by the supervisor.

Requirements

The ideal candidate should possess:

  • Completed secondary education; a post-secondary qualification is preferred.

  • Prior experience working within the NGO sector is highly regarded.

  • A self-motivated, detail-oriented approach with a strong sense of personal responsibility.

  • Excellent communication and interpersonal skills to collaborate effectively with the team.

  • Ability to work flexible hours based on project needs.

Senior Project Officer/ Project Officer – Affiliated Members Department

Major Responsibilities:

  • Oversee the planning, coordination and day-to-day operations of the Golden Guide and Happy Bee membership segments.

  • Implement, coordinate and monitor activities in partnership with Hong Kong Jocky Club, ensuring alignment with agreed community impact goals under the HKJC Community Project.

  • Liaise closely with volunteers, committee members and project workgroups to facilitate effective collaboration and sustained engagement.

  • Monitor project budgets and financial performance, ensuring proper use of funds and

  • compliance with funding requirements and organisational guidelines.

  • Propose and develop innovative project initiatives, including preparing funding applications and project proposals.

  • Work independently and provide coaching to junior colleagues.

Requirements:

  • University graduate

  • Minimum 5 years’ experience in the social services sector

  • Strong leadership, communication, and interpersonal skills; able to engage effectively with stakeholders at all levels

  • Able to manage multiple tasks and work under pressure

  • Good command of spoken and written Chinese and English

  • Mature, patient and detail-oriented

  • Willing to work weekends, public holidays and evenings as required

  • Candidates with less experience will be considered for the Officer grade

Administration & Event Assistant (Part-time)

Reports to: Head of Corporate Communications and Fundraising

Responsibilities:

  • Working hours: 8 hours (10am – 5pm) per day with 1-hour paid lunch break. 2 days per week.

  • Provide administrative and event-related support as assigned, e.g. souvenir procurement, payment processing, email correspondence, online registration management, filing, mail-out, etc.

  • Handle sales administration, e.g. compiling reports and distributing event materials.

  • Handle email inquiries.

Requirements:

  • University graduate or above.

  • A strong team player who is mature, organised, attention to details and self-driven.

  • Proficient in MS Excel, Word & PowerPoint. Chinese word processing is essential.

  • Fresh graduates are welcome to apply.
