Clerk II (holding the functional title of Executive Assistant)

Clerk II (holding the functional title of Executive Assistant) in the Academic Liaison Office of the Registry (Ref: 526229) (to commence as soon as possible on a two-year fixed-term basis, with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to satisfactory performance)

We are looking for a clerk to join the Academic Liaison Office to provide administrative and clerical support to the Office.

The Role

The appointee will be responsible for a range of clerical duties including data entry, maintaining records, bookkeeping, providing general administrative support to the Office, and performing any other duties as assigned by the Office Head.

Qualifications and Qualities

  • 5 passes in HKCEE, including English (min. Grade C if Syllabus A/Level 2 from 2007), Chinese (Level 2 from 2007) and Mathematics, OR min. Level 2 or equivalent in 5 subjects in HKDSEE, including English Language, Chinese Language and Mathematics, preferably with one year’s relevant work experience;

  • A good command of spoken and written English and Chinese (including Putonghua);

  • IT proficiency (MS Word and Excel);

  • Ability to work independently, with good organisational and communication skills, and be self-motivated and attentive to details;

  • Those with less experience/ lower qualifications may be considered as Clerical Assistant.

Clerk II in the Department of Psychology (Ref.: 526059) (to commence as soon as possible, on a two-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to satisfactory performance and funding availability)

Applicants should have 5 passes in HKCEE including English (min. Grade C if Syllabus A/Level 2 from2007), Chinese (Level 2 from 2007) and Mathematics, OR min. Level 2 or equivalent in 5 subjects in HKDSEE including English Language, Chinese Language and Mathematics, OR a recognized Bachelor’s degree. Applicants should also have 1-2 years' solid work experience in office administration, preferably within the higher education sector.  They should have a good command of written and spoken English and Chinese, effective communication, organizational and interpersonal skills; and proficiency in Microsoft Office applications.  They are also expected to be attentive to details and be able to discharge complex clerical duties. Shortlisted candidates will be invited to attend a written test and an interview. Those with a Bachelor’s degree will be awarded the functional title of Executive Assistant.

The appointee will provide administrative and clerical support in various aspects of academic programmes such as admission exercise, class timetabling, student matters, and examination matters etc. He/She will also provide general administrative support to the Department and University events, and performing any other duties as assigned.

The Centre for Comparative Medicine Research is a rapidly expanding, AAALAC International accredited, academic research-support centre of the LKS Faculty of Medicine at HKU.  We are committed to the provision of high-quality laboratory animals, well-equipped animal holding facilities, and professional services to support the leading role of HKU in research and teaching.  We are seeking various talents and offer excellent staff training and long-term development opportunities.  With a team comprising scientists, veterinarians, registered Laboratory Animal and Medical Laboratory Technologists, and over 100 highly trained and dedicated staff, we strive to promote the humane and excellent care and use of laboratory animals in the university.  Information about the Centre can be obtained at https://ccmr.hku.hk/.

Applicants should possess a recognized Bachelor's degree/Associate Degree/Higher Diploma, preferably with 3-4 years' work experience. They should have a good command of written and spoken English and Chinese (including Putonghua), good organizational, interpersonal and communication skills, strong computer literacy (especially in Excel and Powerpoint) and the ability to perform multi-tasks.

Duties include event coordination, project management and human resource management.
