Administrative Assistant I/II (AAI/II)

The Role

The appointee will assume a leadership role in supervising a team of junior executive and clerical staff, providing essential support to the administration of the School/ Department.  He/She will carry out advanced administrative tasks across various domains, including human resources, finance, teaching and learning, research, knowledge exchange and general office administration; take on new initiatives; and perform other duties as assigned by the supervisor.  Candidates with less experience or qualifications may be considered for appointment as Administrative Assistant II, with opportunities for growth and development.  Shortlisted candidates will be invited to attend an interview and/or written test. Qualifications and Qualities:

  • A good university degree, preferably a Master’s degree;

  • At least 10 years’ supervisory work experience in the higher education sector or a related field;

  • An exceptional command of written and spoken English and Chinese;

  • Exceptional interpersonal, organizational and problem-solving skills;

  • Experience in drafting formal documents and dealing with sensitive and confidential issues;

  • Proven experience in fostering innovation and spearheading strategic initiatives to enhance operational efficiency through office automation is highly desirable;

  • A strong sense of responsibility and strategic awareness;

  • Excellent decision-making, organizational, time-management and problem-solving skills;

  • Ability to work proficiently with significant independence and under pressure to meet tight deadlines; as well as an appropriate level of IT knowledge; and

  • Ability to keep their subordinates motivated to deliver quality work under tight deadlines. 


Executive Assistant, Undergraduate Student Enrichment (at the rank of Clerk II)

Executive Assistant, Undergraduate Student Enrichment (at the rank of Clerk II) in the Faculty of Business and Economics (Ref.: 531927) (to commence as soon as possible, on a two-year fixed-term basis, with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal subject to satisfactory performance)

Applicants should possess a bachelor's degree, with at least 1-2 years' full-time work experience in the field of administration or student affairs. They should have a good command of written and spoken English and Chinese (proficiency in Putonghua would be an advantage); good organisational, communication and problem-solving skills; computer literacy; and the ability to multitask under pressure and work independently as well as in a team. They should also be detail-oriented, particularly to numbers. Fresh graduates with good academic background will also be considered.

The appointee will provide administrative and clerical support to the Faculty's undergraduate enrichment programmes and career-related services. He/She will be responsible for managing the database, performing data entry, coordinating events, activities, trainings and study tours, liaising with students and internal/external stakeholders of projects and assisting in general administration in the Undergraduate Student Enrichment Team. The appointee is expected to work outside normal office hours, travel occasionally and perform ad-hoc duties as assigned. IT Officer

The Role:

  • Conduct in-depth research and evaluation of AI advancements and industry-specified trends to align with evolving business objectives

  • Lead proof-of-concept (POC) initiatives with the latest Large Language Model (LLM) technologies, demonstrating a commitment to exploring new possibilities

  • Understand and analyze business needs, propose appropriate AI / Digital solutions, and actively take part in innovative projects with new technology

  • Optimize AI solutions to maximize efficiency, productivity, and value across the University

  • Ensure all AI products and applications are adhered to responsible AI best practices and ethical standards

  • Maintain the architecture repository in Enterprise Architecture (EA) modelling tool and manage the team SharePoint site

  • Drive the adoption of AI and EA in other departments and faculties

Qualifications and Qualities:

  • A good Bachelor's degree (Information Technology/Computer Science/Artificial Intelligence/a related discipline) 

  • At least 3-5 years of relevant experience

  • An excellent command of English and Chinese (Putonghua and Cantonese) 

  • Robust organization and communication skills 

  • Strong knowledge of technology trends, best practices, and emerging technologies 

  • Ability to multi-task, collaborate effectively with team members, and work independently with attention to detail  

Good knowledge of and relevant experience in SOME of the following areas is required:  

  • Proficiency in application development & integration

  • Proficiency in applying AI technologies for practical solutions to enhance business processes, decision-making, and user experience

  • Implementation of LLM/RAG/Agentic AI related projects
