Consular and Administrative Officer at the Consulate General of Ireland

The salary for the position is HKD 272,328.01 per annum (inclusive of 13th month)

The Consulate General of Ireland to Hong Kong and Macao is seeking to recruit a resourceful, proactive, and flexible individual who is highly motivated, enthusiastic and hardworking with excellent verbal and written communication and interpersonal skills to fill a full-time Consular and Administrative Officer position.

Roles and Responsibilities:

The precise range of duties will vary over time according to the needs of the Mission, but will include the following:

  • Assisting with delivery of consular services to the public including: processing Working Holiday Applications; creating and issuing consular letters; accepting and forwarding passport documents; printing and affixing visa stickers; liaising with Consular and Visa colleagues in HQ, Embassy Beijing, the Visa Office in Beijing, and VFS Global, Hong Kong.

  • Providing consular assistance to Irish citizens in a variety of situations.

  • Front of office duties including attending to visitors to the Consulate and responding to phone and email enquiries.

  • Management of a range of one-off and ongoing projects such as building management, diplomatic staff arrivals and departures, standard operating procedure document development and maintenance.

  • Providing general administrative support to diplomatic staff as needed.

In addition to the above, the Consular and Administrative Officer will be required to carry out other functions subject to the business needs of the Consulate including: covering during periods of leave for other locally engaged staff; assisting with events and high-level visits; and any other duties as assigned.

Essential Requirements candidates must be able to demonstrate:

  • Post-secondary qualification;

  • Candidates must have previous professional experience in a customer-facing role;

  • Oral and written fluency in English and Cantonese (language test may be included as part of the shortlisting process);

  • Working knowledge of Microsoft Office Suite (Outlook, Word, Excel);

  • Using work based examples of excellent interpersonal skills, providing customer service, being persuasive, working in a team, dealing effectively and appropriately with people in external organisations;

  • The candidate must provide evidence of flexibility, efficiency and effectiveness showing strong organizational skills, attention to detail, able to work under pressure and to manage multiple tasks;

  • The candidate should provide examples of being solutions-oriented, and committed to delivering results, including by adapting approach if necessary;

  • All applicants must have a permanent legal right to reside and work in Hong Kong.

Desirable Skills and Experience:

  • A good understanding of the role of the Department of Foreign Affairs and Trade and the Consulate;

  • The successful applicant will work alongside other local employees of the Consulate, and will report directly to the diplomatic staff in the Mission. Previous experience in a diplomatic mission is desirable, but not essential.

Terms and conditions of employment:

  • The successful candidates will be hired on a fixed-term contractual basis and will be based at the Consulate General of Ireland, 20/F, 33 Des Voeux Road Central, Hong Kong;

  • Monday to Friday, 40 hours per week, with standard office hours from 9am to 6pm.

  • Annual Leave entitlement 20 days per annum.

  • The salary for the position is HKD 272,328.01 per annum (inclusive of 13th month), paid locally on a monthly basis. Salaries are paid direct to a bank account, therefore, the successful candidate must have a bank account.

Selection Process:

  • Depending on the number of applications received, a short-listing of candidates to be called for a competency-based interview may be undertaken based on the Essential/Key Requirements above;

  • A second interview may be included in the recruitment process;

  • A panel may be set up depending on the calibre of candidates.
