The Keswick Foundation's (KF) mission is to facilitate long-term and impactful service development and capacity building to address social needs in Hong Kong and mainland China. KF provides funding to support pilot projects to enable the exploration of innovative and practical solutions to address specific social needs.

Administrator

We are now inviting applications for the position of Administrator. The successful candidate will report to and work closely with the Executive Director, playing a key role in office administration, financial tracking, coordination with internal team members and external partners, and record keeping.

Responsibilities:

  • Financial Administration

    • Handle bookkeeping and bank transaction processing.

    • Process expense claims, petty cash, payroll, MPF, and employee benefits.

  • Human Resources Support

    • Maintain and update staff records, including leave and overtime records.

  • Meeting and Administrative Support

    • Organise and compile meeting papers prepared by project managers.

    • Perform data entry and assist with preparation of office meeting minutes.

    • Arrange venues, transportation, and logistics for meetings and activities.

  • IT and Communication Support

    • Monitor and manage the general email inbox.

    • Assist in updating website content and basic IT-related administration.

  • Office Management

    • Maintain and replenish office supplies and stationery.

    • Collect and distribute mail and document.

  • Travel and Logistics

    • Arrange air tickets, insurance, and related bookings.

  • Other Duties

    • Perform other tasks and projects as assigned by the Executive Director and the office.

Requirements:

  • University degree in a relevant discipline.

  • Minimum of three years' relevant work experience in administration, accounting support, or office management.

  • Willingness to work outdoors as required.

  • Good command of written and spoken English and Chinese.

  • Strong interpersonal and communication skills, with the ability to work effectively in a small team.

  • Strong organisational skills, attention to detail, and a high degree of accuracy.

  • Self-motivated, reliable, and proactive, with an interest in and commitment to social causes.
