Officer (Administration and Accounting Section), Estates Office
Responsibilities:
Identify risk areas and conduct financial and operational reviews to ensure conformance with the policies and procedures of the University and the University Grants Committee Notes on Procedures;
Conduct analytical review of expenditures managed by the Office;
Review various systems used by the Office to evaluate control effectiveness and data reliability;
Work closely with team members to define, design, and optimise internal investment in systems by using proprietary platforms or third-party solutions, such as digitisation in records management; and
Perform any other ad hoc duties as assigned.
Requirements:
A bachelor's degree or higher in Accounting, Finance, Data Science, Information Technology or other relevant fields;
At least two years of experience in financial audit, audit analytics, data analytics, IT audit or related fields, and HKICPA finalist preferred;
Strong communication skills and the ability to present complex information in a clear and concise manner; and
Good command of written and spoken English and Chinese.

The initial appointment will be offered on a fixed-term contract of two years. Re-appointment thereafter will be subject to performance review, mutual agreement and availability of funding.

Assistant Manager (Procurement & Contract Management)
We seek a highly organised and detail-oriented Assistant Manager specialising in Contract Management and Procurement. The appointee is expected to provide professional financial support, oversee and manage the entire lifecycle of IT related contracts and procurement process within the organisation. This role involves ensuring compliance with contractual obligations, managing daily procurement operations, collaborating with various departments to meet business requirements, and fostering strong relationships with internal and external stakeholders.
Responsibilities:
Manage the development and execution of contracts, ensuring they align with organisational goals and comply with legal and regulatory requirements;
Manage the procurement process, ensure all procurement documentation is accurate, complete, and submitted on time. Maintain comprehensive records of all tender processes and decisions; and inventories for on-going maintenance renewal;
Experience in managing the budgeting process, including preparation, monitoring, and reporting is a definite plus. Ensure adequate resource allocation and adherence to budgetary constraints;
Collaborate with cross-functional teams, including legal, finance, and operations, to ensure all contract terms are met and potential issues are addressed proactively;
Monitor and streamline accounting procedures to enhance efficiency and accuracy in CAPEX, OPEX, and project accounting operations, including compliance with deliverables, timelines, and milestones;
Prepare regular financial reports and contract inventory for senior management; and
Perform ad hoc assignments and responsibilities requested by supervisor.
Requirements:
A bachelor’s degree in accounting, finance or equivalent with a minimum of 6 years of relevant supervisory experience gained from sizeable companies;
Excellent command of written and spoken English and Chinese;
Strong analytical, communication and problem-solving skills with exceptional attention to detail;
Proficiency in computer software such as Microsoft 365 especially in Excel and PowerPoint; and
A high level of self-motivation and the ability to multitask and work effectively both as a team player and independently to meet tight schedules.

Executive Assistant, Academic Registry
The Taught Postgraduate Studies Section of the Academic Registry is looking for a self-motivated and dedicated team player for the position of Executive Assistant. The appointee is expected to provide administrative support and perform duties in various functional areas of the Section, including but not restricted to:
Responsibilities:
Process application and admission for professional doctorate and taught postgraduate programmes;
Liaise with programmes and departments to provide support for programme administration;
Assist in processing applications for transcripts and testimonial, change of study programmes, unit transfer, course exemption, requests for education verifications, etc;
Coordinate clerical support and provide assistance to student enrolment, registrations, examinations and other student matters;
Participate in promotional activities of TPg programmes;
Assist in coordination with other departments;
Provide support to other ad hoc projects; and
Carry out other duties as assigned.
Requirements:
A recognised degree plus at least two years of relevant work experience in the tertiary education sector;
Good command of written and spoken English and Chinese (including Putonghua);
Proficiency in computing applications particularly in using databases and spreadsheets;
Strong analytical, communication and interpersonal skills; and
Self-motivated with a positive work attitude, a strong sense of responsibility, and the ability to work under pressure.
