Executive Secretary

Job Summary

The Executive Secretary provides high-level administrative and operational support to the Executive Director & Chief Financial Officer and other designated senior executives.  The role requires exceptional organizational skills, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

The successful candidate will be proactive, detail-oriented, and technology-savvy, with the ability to coordinate across multiple stakeholders and ensure the smooth operation of the executive office. Familiarity with digital and AI-enabled productivity tools is a plus and will be beneficial in enhancing productivity, communication, and workflow efficiency.

Key Responsibilities:

  • Manage complex calendars, scheduling and meeting arrangements.

  • Coordinate internal and external meetings, including preparation of agendas, papers, presentations slides and follow-up actions.

  • Organize business travel arrangements, accommodation, and itineraries.

  • Coordinate communications across departments, business units, and external stakeholders.

  • Support onboarding logistics for new joiners of the team and coordination departmental activities where required.

Qualifications:

Assistant Engineer

Job Description:

  • Deliver daily technical support to the engineering team, including document handling, data sorting and on-site technical coordination.

  • Conduct monthly factory QC inspections in mainland China.

  • Inspect production processes, product quality and on-site compliance against company specifications.

  • Document inspection results, compile formal QC reports and capture relevant evidence.

  • Highlight quality non-conformities, liaise with factory staff and monitor rectification progress.

Job Overview

We are seeking an Administration Manager to oversee all administrative operations in a sizable engineering company. This role is critical in ensuring smooth office management, compliance, and support for business units. The successful candidate will lead a small team and manage a wide range of administrative functions, from office procurement to licensing.  

Job Responsibilities:

  • Supervise office operations, including facilities management, equipment maintenance, office supplies procurement and renovation projects.  

  • Handle rental agreements and utilities billing.  

  • Manage incoming mail distribution and allocation of tender invitations to business units.  

  • Ensure proper management of company licenses and insurance arrangements.  

  • Lead and develop a small administrative team to deliver efficient support.  

Job Requirements:

  • Bachelor’s degree in Business Administration, Management, or related discipline.  

  • Minimum 6–8 years’ experience in office administration, with at least 2 years in a supervisory or managerial role.  

  • Strong knowledge of facilities management, and corporate licensing/insurance.

Senior Quantity Surveyor

Job Duties:

  • Assist the project commercial manager in handling contractual and commercial matters of the assigned contract(s).

  • Manage project financial matters including budget review/forecast/reconciliation, payment and project finance reporting.

  • Assist in procurement of materials, equipment, works and services.

  • Manage changes to the contract including pursue the entitlement of changes, additional payment and/or time under the contract, compiling claims for changes/additional payment and time, and consolidate contemporary records.

  • Handle contractual correspondence.

Job Requirements:

  • University Degree in Quantity Surveyor/Engineering/Equivalent.

  • Minimum 6 years for PQS / minimum 9 years for SQS.

  • Professional member of HKIS/RICS/other relevant professional institution.

  • Good command of English and Chinese.

  • Familiar with MS office, programming software.
