Founded in 1971, Towa Tours Limited is an overseas event planner / premier travel agency specializing in organizing meetings, incentive conventions, conferences and events (MICE) for household name corporations (often international) and organizing leisure travel for high-net-worth individuals and families. Our footprint covers all around the world, including Europe, Africa, South America, the USA, Canada, Asia, with a special focus on Japan. Project Manager - M.I.C.E. Department

Job Overview:

The Project Manager is expected to be able to manage and execute all travel groups/events regardless of size, with only occasional guidance of a Project Director. The Project Manager is the owner of the project in terms of execution and financial well-being of a project. He/she is responsible for building good relationship with the clients in order to procure more sales in the future. The Project Manager also has to supervise 1 or more Project Executive depending on the size of the projects.

Responsibilities and Duties:

  • Design itinerary of popular destinations (with the assistance of overseas suppliers, only if necessary).

  • Manage (or supervise a Project Executive) group/individual booking of air tickets, hotel accommodation, restaurants and transportation.

  • Manage (or supervise a Project Executive) registration process for mass groups.

  • Manage and execute production for gala dinner and branding within itinerary.

  • Decide on pricing on all items with occasional guidance of a Project Director.

  • Liaise with clients and suppliers in relation to the above matters on a day-to-day basis.

  • Solve unexpected problems during the execution of a project.

  • Build up good relationship with clients and suppliers and to be main point of contact, along with a project executive, of clients.

  • Able to handle all group size with occasional guidance of a Project Director.

Requirements:

  • Occasional travel is required.

  • Tertiary Diploma or Degree is required.

  • Minimum 4 years of work experience in the hospitality industry or event-related industry and 1 year experience as a managerial role of MICE-projects are required.

  • Strong communication skills (both orally and in writing) in English and Cantonese, additional languages such as Mandarin and Japanese and other languages is a plus.

  • Experience in using airline reservation system (Sabre) and XML PowerSuite System is a plus.

Supervisor – Tour Department (Japan Section)

Job Overview:

The Supervisor is responsible for designing itineraries and arranging hotels, transportation, sightseeing, restaurants, conference/meeting/special venue facilities and souvenirs for Japan projects. The projects range from normal leisure tour to large scale incentive conventions/corporate events.

Responsibilities and Duties:

  • Design itineraries for trips within Japan.

  • Liaise with suppliers in Japan, including but not limited to hotels, transportation companies, restaurants, attractions and conference/meeting/special venue facilities, to execute the needs of the clients (leisure and corporate).

  • Advise clients on travel in Japan.

  • Update new development about traveling in Japan to clients and internal colleagues.

Requirements:

  • Occasional travel is required.

  • Post-secondary / Degree graduate.

  • Minimum 2 years of work experience in Japan travel related role

  • Strong communications skills (both orally and writing) in Cantonese and Japanese (N1 is a plus) are required. Good communication skills in English are also required. Additional languages such as Mandarin and other languages are welcome

  • Experience in using XML PowerSuite System is a plus

Project Executive - M.I.C.E. Department

Job Overview:

The Project Executive is expected to be able to handle small travel groups (around 60PAX) with minimal supervision. He/she is expected to take up a major operational role to execute a large scale project (100PAX or above) under the supervision of a Project Manager or a Project Director.

Responsibilities and Duties:

  • Manage group/individual booking of air tickets, hotel accommodation, restaurants and transportation.

  • Manage registration process for mass groups.

  • Manage and execute basic production for gala dinner and basic branding within itinerary.

  • Liaise with clients and suppliers in relation to the above matters on a day-to-day basis.

  • Build up good relationship with clients and suppliers.

  • Able to handle group up to 60PAX with minimal supervision.

Requirements:

  • Occasional travel is required.

  • Tertiary Diploma or Degree is required.

  • 2 years of work experience in the hospitality industry or event-related industry is required.

Project Assistant - M.I.C.E. Department

Job Overview:

The Project Assistant is expected to assist the more senior team members in a project; his/her jobs include checking database, printing travel handbook, banners, etc (liaising with designer and printing house), sourcing souvenirs, and “mail-merging”, etc.
He/she is expected to learn, on the job, the needs of different type of corporate clients in their incentive conferences and trips, basic air ticket knowledge, hotel brands, different destinations, attractions and gala dinner production.

Responsibilities and Duties:

  • Check and manage database of clients (10-200PAX)

  • Liaise with designers and printing houses in relation to printing travel booklets, banners, menus, etc.

  • Source souvenirs of each destination.

  • Send mass emails or producing mass documents by “mail-merging”.

  • Make simple booking of hotel, air ticket and restaurants, etc.

  • Assist the team in general

Requirements:

  • Occasional travel is required.

  • Post-secondary / Degree graduate.

  • Working experience is welcomed but not required.

  • Strong communication skills (both orally and in writing) in English and Cantonese, additional languages such as Mandarin and Japanese and other languages is a plus.

Operation Executive

Job Overview

The Operation Executive is responsible for booking arrangement and quotation, liaise with land operator, airlines or vendors on bookings.

Responsibilities and Duties:

  • Place bookings and liaise with suppliers, airlines or vendors on bookings.

  • Answer and handle all incoming enquiries and bookings.

  • Operation of Tours.

  • Assist other department for ad-hoc duties if required.

Requirements:

  • Post-secondary / Degree graduate.

  • Work experience in travel related role is welcomed, but not required.

  • Strong communications skills (both orally and writing) in Cantonese. Good communication skills in English are also required. Additional languages such as Mandarin and other languages are welcome

Tour Assistant – Tour Department (Japan Section)

Full Time Half Day Accounts Clerk

Job Overview

Performs a range of general clerical, accounting and bookkeeping support functions in the company.

Main Job Tasks, Duties and Responsibilities:

General accounts receivable functions

  • Prepare and submit customer invoices

  • Prepare daily settlement

  • Prepare and coordinate deposit activities

  • Perform all necessary account, bank and accounts reconciliations

  • Monitor customer accounts for non payment and delayed payment

General accounts payable functions

  • Check, verify and cheque issue

  • Prepare payments voucher for signature

  • Bank reconciliations, enter accounts payable data

  • Analyze discrepancies and unpaid invoices

  • Maintain vendor files

General support functions

  • Outdoor work may be required

  • Update, verify and maintain accounting journals and ledgers and other financial records

  • Assist in month end reporting procedures

  • Find and use accounting data to resolve accounting problems and discrepancies

  • Track and audit petty cash

  • Check & control our department expense reports

  • Perform filing and general administrative tasks

  • Liaise with other departments/customers/vendors

Requirements:

  • Form 5 or above

  • With LCCI Intermediate Certificate or equivalent or above

  • Full set of books

  • Good knowledge of Microsoft office and Chinese word processing, excellent in Excel is a must

  • Self-motivated, well-organized, responsible, and hard-working

  • Monday to Friday 9 am to 1 pm OR 2 pm – 6 pm
