Project Assistant - Human Resources

Responsibilities:

  • To provide comprehensive secretarial support to the VP of Human Resources

  • To prepare presentations for use at internal/ external meetings and presentations

  • To compile strategic reports and various reports as required and understand how to use information systems

  • To develop clear understanding and utilization of administrative best practices to ensure the highest quality service delivery

  • To handle Human Resources department travel itineraries, ensuring that travel arrangements and concurrence are made on time and within policy

  • To manage internal office and external document filings

  • To manage and facilitate preparation of meeting agenda, minutes, presentation and follow up actions with key stakeholders

  • To produce correspondence and reports using appropriate software and social medias

  • To establish and maintain files and records.

  • To assist the Human Resources department overall admin. duties and to follow up upon outstanding matters according to deadline given to team/ vendors on projects

Requirements:

  • At least 3 years secretarial support experience to company's senior management

  • Degree AND / OR Secretarial office administration course equivalent

  • Highly proficient with windows applications: MS Word, Excel, PowerPoint, able to format reports of moderately complex nature using these software

  • Excellent English language (both spoken and written) is a must and Cantonese, Mandarin are essentials.

Senior HRMS Specialist

Key Accountabilities:

Project Implementation

  • To support HR Project Leaders in the delivery of design & configuration of the various HR systems and align to the agreed HR framework and principles

  • To work collaboratively with the external implementation partners and internal stakeholders to deliver projects on time, on budget and professional service standard

  • To manage project risk and issues effectively to deliver the aims of the programme

  • To communicate regularly with key units and HR stakeholders during the project implementation cycle in collaborating/ arranging meeting with related stakeholders to follow up project issues

  • To prepare business guideline, training materials, key meeting minutes, regular status report, UAT Test plan/case etc

HRMS Sustainability

  • To provide 1st level maintenance support of HRMS related systems as subject matter expert

  • To manage the ad-hoc report / online form / analytics request raised by internal stakeholders

  • To perform regular review to ensure the data integrity within HRMS related systems in compliance with data governance policy

  • To coordinate with relevant parties to ensure system change requests are carried out properly on a timely basis

  • To demonstrate and reinforce the Lane Crawford vision and values and service promise at all times

Business Analysis

  • Perform full spectrum of business analytical tasks to reflect the current business situation as well as identify potential risks and new business opportunities

  • Prepare regular analytical and statistical reports to support business decision making to achieve business objectives and company goals

  • Evaluate programs effectiveness and provide actionable recommendations

  • Work closely with different HR functions to drive productivity and make sure business requirements are being met

Requirements:

  • Bachelor degree in Human Resources, Information Technology or related field required

  • Minimum 5 years experience in application support/ project management, with solid experience in Recruitment Management / Learning Management System

  • Good understanding of HRMS (SAP SuccessFactors), sound knowledge of HTML5, MySQL, VBA is highly preferred

  • Demonstrated experience to handle confidential and sensitive information

  • Work independently, pro-active, team player, strong communication skill

  • Fluent communication, both written and spoken, in English and Mandarin
